Author Information
The deadline for submission of papers and workshop proposals is past. Disposition letters for submitted papers were sent to authors around the end of January. The Call for Papers and Call for Proposals are still available for reference if needed.
Procedure for Submission of Presentation Materials
Presentation materials must be provided ahead of time so they will be ready at the beginning of the session. Click here for a document (PDF) describing the procedure and requirements.
Do not plan to load your presentation at the beginning of the session or just before you are scheduled to speak. Unless you have a special need and have made arrangements beforehand, you must use the computer provided.
Final Paper Submission
The deadline for submission of final papers is past. The material below has been retained for reference only.
Authors of technical paper summary submissions accepted for presentation at the symposium must submit a digest paper electronically using the submission website no later than 4 March, 2010.
Click here for information on workshop submissions.
Email notifications of paper dispositions were emailed to authors on 21 January 2010. Dispositions inquiries may also be made at the submission website by selecting Inquire about a Previous Final Digest Paper Submission from the drop-down list. You will need to enter your registration key in order to identify your submission.
Dates and Deadlines
The deadlines for submission of final manuscripts and workshop notes are given below. All deadlines absolutely must be met. Submissions will not be accepted after the deadline. Final papers and workshop notes must be submitted by the deadline so that digest CDs can be produced in time for distribution at the conference.
- Final manuscript of accepted papers: 4 March 2010
- Final manuscript of workshop notes: 11 March 2010
Essential Information for Manuscript Preparation and Submission
Final Manuscript Submission
- This year conference registration is required prior to submitting your paper. Register for the conference and obtain a registration number at the IMS Registration Site.
- You will need to use the IEEE PDF eXpress site (conference ID: ims2010x) to convert your manuscript to an IEEE Xplore-compliant PDF or to verify that your own PDF is compatible before uploading.
- If you wish to create the PDF yourself, you must use Acrobat Distiller; do not use Acrobat PDF Writer. See Final Manuscript Aids, below, for information and job-options files for Distiller.
- It is important that you read the instructions before uploading (PDF):
Quick Instructions
Full Instructions (includes instructions for using the submission website)
- Please remove all page numbers from your final manuscript.
- Completion of the Digest Paper submission process is ESSENTIAL, even if your paper is unchanged from the original summary submission.
- Note that papers cannot be published without completion of the IEEE Copyright Form. This will be completed electronically as part of the final manuscript submission process. Paper forms are no longer used.
- Go to the submission website to begin the final manuscript submission. You will need the 12-character Registration Key issued when you submitted the original summary.
- Hard copies of papers will not be accepted; all submissions must be made in PDF format via the electronic paper submission site.
Final Manuscript Aids
- Manuscript Template: MS Word and PDF.
- Manuscript template: FrameMaker.
- Optional LaTeX information and a LaTeX manuscript template: ZIP and PDF.
- How to generate a postscript file for conversion to PDF: SPIE website.
- Information for creating your manuscript PDF yourself: PDF.
- Acrobat job-options files for generating Xplore-compliant PDFs with Acrobat Distiller: ZIP.
Student Papers
If you are a full-time student, you may wish to consider entering one or more of the student competitions that are offered this year during IMS. More information on the competitions and rules can be found at the student events and competitions web page.
An extremely important WARNING to authors about ITAR and publication clearances (PDF).
Withdrawal of accepted papers after 4 March 2010 may result in the author being held liable for all costs should the paper need to be redacted from the Conference Digest.
Presentation Material
Presentation material (slides) must be in electronic form; Powerpoint or PDF files are acceptable. Transparent slides, either viewgraphs or 35mm, are no longer used at the IMS. Technical paper presentation materials are not published or archived, so they need not be Xplore compliant.
Please see this article by Joseph White regarding IMS presentations, and guidelines for preparing slides. These are especially important if you have never made an IMS presentation.
Interactive Forum Presentations
Papers assigned to the Interactive Forum require a written manuscript according to the same rules and deadlines as regular-session papers. The presentation is in poster format, however. For information on the poster presentations, use the links below.
Workshop Presentations
The requirements for presentation materials for workshop and tutorial presentations may be different from those for regular technical sessions. Generally, the use of a standard workshop template (see below) is preferred.
Other useful material:
- Workshop guidelines for organizers. Some of this may be useful to presenters as well.
- An article on making an effective IMS presentation by Joseph White.
- Slide guidelines (PPT)
Presentation Aids
Since no paper accompanies them, copies of workshop presentation slides are made available to attendees both in hard-copy and electronic format. These must be in PDF form and are uploaded at the submission website for workshops (not the same as the site for regular papers.) Two files are needed:
- A file in full color, 1 slide per page, for the CD.
- A monochrome file, two slides per page, for the printed notes.
In order to assure visual quality of your presentation and uniform appearance, please use the Powerpoint-format presentation template below. Although IEEE Xplore compatibility is not essential, use of the IEEE PDF site will guarantee a good-quality PDF.
- IEEE PDF eXpress site (conference ID: ims2010x)
- Presentation template (Powerpoint format)
If you wish to generate the PDF yourself using Distiller, please see this document and use the Distiller job-options files located here. Do not use Acrobat PDF Writer. If you generate the PDF yourself, use the IEEE PDF eXpress site to check your PDF for Xplore compliance.
Workshop registration fees are waived for presenters who upload their notes by the March 11 deadline and for organizers who meet all deadlines. Notes will be accepted until April 25, but without free registration.
